Setting Up A Practice Plan

NovoPsych Practice Plan is designed specifically for practices that require flexibility, oversight of client data and individualised access for each clinician.

Under one central practice account, each practitioner will have their own account and separate login credentials. Subscription tiers for each user can be customised and assigned depending on assessment or AI Notes usage requirements:

Practice Psychometrics tier – $20 + gst per user/month
  • Includes 100 assessments per month, per user 
  • Access to assessments only
Practice Psychometrics + NovoNote: Pro tier – $30 + gst per user/month
  • Includes 50 Pro actions per month, per user 
  • Access to assessments & NovoNote AI Scribe
Practice Psychometrics + NovoNote: Pro Plus tier – $60 + gst per user/month
  • Includes 100 Pro actions per month, per user 
  • Access to assessments & NovoNote AI Scribe
Practice Psychometrics + NovoNote: Platinum tier – $99 + gst per user/month
  • Includes unlimited Pro actions per month, per user 
  • Access to assessments & NovoNote AI Scribe

Note:

  • A minimum of two users is required to set up a practice plan
  • Users can be on different tiers (they do not need to be on the same tier)
  • For access to Insights, all users must be set up on Pro Plus or Platinum tiers. Kindly also reach out to our customer support (info@novopsych.com) to confirm this access.

Within a Practice Plan, Account Managers and Supervisors are equipped with administrative control, including the ability to:

  • Add or remove clinicians and support staff
  • Assign or update user roles
  • Adjust subscription tiers
  • Monitor assessment and AI Notes usage per user
  • Maintain organised oversight of practice client data
  • Manage billing (this access is limited to Account Managers only)

This guide is intended for Account Managers who are setting up and managing a Practice Plan with multiple users.

    • Designated Account Manager (name, email, tier)
    • Setup date
    • Preferred billing cycle (monthly/annual) and payment method (card, direct debit, bank transfer)
    • User tiers, names and emails

Note:

  • When you invite a new user to join your Practice Plan, that user must accept the invitation to be linked (an email will be sent to them). 

  • Your payment method will be immediately charged for the new subscriptions when users accept the invitation.

  • In the first month, a separate invoice will be generated for each user on the Practice Plan. The following invoices will be collective.

Existing Accounts

To set up the central account on an existing account, a paid subscription is required (Pro / Pro Plus / Platinum). If you are currently not on a paid tier, you may upgrade your subscription before inviting users.  

Navigate to the Account Settings page by clicking the ⚙️ gear icon in the top right hand corner.

Before proceeding, check to see you have a valid payment method added on your account which would be subsequently charged for the new practice plan billing. Also check to see if your plan billing frequency is set to your preferred cycle (monthly or annual).

To make changes to your payment method, kindly visit our guide here. For bank transfers, kindly reach out to our support team (info@novopsych.com) before inviting users or following through the steps below. 

Note: Bank transfers are available for annual subscriptions. Card payments or direct debit are available for both monthly & annual subscriptions. 

 

Navigate to the User Management Page by clicking the Users tab in the left-hand menu.

You will now see the User Management section below – from here, select Add User:

The first time you add a new user you will see a pop-up warning that this will increase your subscription charges. User tiers in a Practice Plan are all charged to the Account Manager’s payment method once they accept the invitation.

From the screen below, select “ADD USER” and enter the required details (name, email, role, and plan).

From there, select Invite (green arrow button at the bottom). The new user will receive an invitation email.

Repeat this step to invite more users to your Practice Plan.

Creating a New Account

Register a new NovoPsych Account at app.novopsych.com/register

Enter your payment details during the signup process.

Navigate to the Account Settings page by clicking the ⚙️ gear icon in the top right hand corner.

Controlling Access to NovoNote AI Scribe

Account Managers can decide if users on the Psychometrics tier should be able to access NovoNote AI Scribe. This prevents unexpected upgrades, while still ensuring practitioners who need access can use NovoNote.

In the User Management section, you’ll see the following setting:

“Block access to NovoNote AI Scribe for users on a Psychometrics plan.” (See image below)

  • If blocked: Users on the Psychometrics tier will not be able to access NovoNote AI Scribe
  • If allowed: When a user on the Psychometrics tier uses NovoNote AI Scribe, their plan will be automatically upgraded to Pro.

Automatic Upgrades

When a practitioner or user in the Practice exceeds their current tier limits, they will be automatically upgraded to the correct plan, and you will be notified by email. 

*A Pro Action is defined as completing an assessment in NovoPsych Psychometrics or dictating, uploading, recording a session in NovoNote AI Scribe longer than 5 minutes.
